In the evolving landscape of enterprise technology, artificial intelligence is rapidly shifting from hype to high-impact implementation. One area where this shift is particularly visible is document management – a traditionally time-consuming and error-prone task now primed for automation. According to Americo Mazzotta, Vice President EMA Sales at Appian, the time for companies to embrace AI is now – and Italy appears ready to lead the charge.

We can now tell companies how much they will save and how much more efficient they’ll become before even installing an AI-based system”, the Vice President explains. “That’s because we have extensive experience with real-world use cases that are essentially ready for deployment”.

Appian’s AI solutions are proving particularly effective in Italy, where two major document-related use cases are gaining traction. Customer Communication Automation: for large companies in constant contact with clients, AI agents can now read and classify emails, correctly organize attachments, and trigger internal workflows to handle the inquiry. Human oversight still plays a role in the final steps, but much of the repetitive labor is handled by machines, drastically reducing time and error. Regulatory Compliance Automation: highly regulated industries must produce a vast number of reports for various government bodies. Each regulator demands specific formats and data structures. AI agents enable companies to maintain their usual internal documentation processes while automatically generating regulator-compliant documents. This reduces the need for retraining staff and allows for quick adaptation when regulations change.

These are not future possibilities, these are working systems – Americo Mazzotta emphasizes – And the impact is immediate: faster processes, lower costs, and employees freed from low-value tasks”.

While Appian’s platform is not exclusively aimed at large enterprises, its value is most evident in organizations with complex, diverse workflows. Lorenzo Alegnani, Area Vice President for Customer Success in Central and Southern Europe at Appian, notes: “Our platform isn’t just for big corporations. It excels in businesses where there are many different processes that can be automated”. This means that even medium-sized companies can benefit significantly, provided they have enough operations to justify the investment. The gains? Increased efficiency, effectiveness, and competitiveness.

Italy’s growing interest in AI is a sign of the times. Traditionally more cautious in adopting new technologies, Italian businesses now recognize the risk of falling behind in a fast-moving digital economy. As Americo Mazzotta puts it: “The technology is ready. The business cases are proven. And the value is measurable. Now it’s just a matter of acting before the competition does”.
